Zoom CRM Connector Documentation

The Zoom CRM Connector is designed to automatically import meeting attendee and webinar registrants into your CRM.

To initiate the connect between your account and Zoom, go to the Settings > Account Settings > Integrations page. Click the "Connect Zoom" button and supply the credentials for the account owner to bridge Complete CRM and Zoom. Note that you must connect with the account owner role account. You can check the users and confirm the Zoom account owner's login email address here: https://zoom.us/account/user#/

After the connection is made, you can click the "Retrieve Zoom Data" button or wait for the automatic hourly import to run.

If you choose to import meeting participants and webinar registrants using the Retrieve Zoom Data function in Account Settings, you will go through a two-step process. The first step will be to identify users in the Zoom account to import events for, and the second step will be the actual import of the participants and registrants for events managed by that Zoom user. Note that if you have numerous meetings or webinars in your Zoom account, it may cause this process to time out. If you wait longer than 2 minutes for results and still see the spinner on the screen, check one user's checkbox to import just the events for that user.

The CRM Connector will look for a match between events in your Complete CRM calendar and events in your Zoom account. To find a match, events in Complete CRM must have the same title as the Zoom event topic. For webinars, the events must match start date and time. For meetings, the Zoom meeting has to start within 10 minutes of the scheduled time in Complete CRM. To avoid synching in events that aren't relevant, the events in your Complete CRM account must have the word "Meeting", "Web", or "Zoom" in the event title or type OR the location of the event must contain "Zoom". Then, any meeting participants or webinar registrants/participants who are not already listed as attending your Complete CRM event will be added as attendees to your event in Complete CRM.

Note that if you use the Complete CRM Booking Calendar for setting appointments, those events will not be synched since we assume you'll use the CRM to directly manage attendance.

You can disconnect the Zoom CRM Connector at any time by going to the Account Settings page in your Complete CRM account and clicking the "Disconnect Zoom" button. You can also log in to your Zoom account, go to App Marketplace, Sign In, then click Installed Apps. On that page, you will see the CRM Connector app, which you can uninstall by clicking the Uninstall button.
